Hours of Operation

The IMS team is available for scheduling, consultations and in-room support during the following times:

  • When Classes are in Session: Monday through Thursday, from 8:00am to 8:30pm; and, Fridays, from 8:00am to 7:00pm.
  • When Classes are not in Session: Monday through Friday, from 8:00am to 6:00pm.
  • The IMS team is not available for weekend or after-hours support.
    • We can reach out to University Events Management, on your behalf, for AV support during these times. Fees will apply.

  • Rooms are checked every morning between 7:30am and 9:00am, Monday through Friday.
  • During these checks, the following actions are performed:
    • Projectors/Displays are turned on
    • The podium PC is rebooted.
    • We test for connectivity to the G and H drives and the internet (websites).
    • Microphones and computer audio are tested to ensure that all sources are able to amplify in the room.
    • Batteries for lavaliere microphones are replaced. Batteries for the PowerPoint clickers are checked.
    • Spot check of the podium, wires and other support equipment.
  • Full and comprehensive tests of all classroom equipment in the podium and the AV racks are conducted on a quarterly basis.
  • Preventative Maintenance with our supporting AV contractors are scheduled bi-annually (Summer and Winter Breaks).
  • Diagnostics and repairs are conducted by the IMS team, first, as soon as the room is available.
    • External contactors are contacted to arrange for: the replacement/repair of malfunctioning/damaged equipment, programming issues, broken cabling and re-lamping projectors mounted above 8 feet from the floor.

Multimedia team provides audio-visual and classroom technology support for centers, programs, departments, and student organizations at the Law School during business hours, Monday to Friday, 8:00 a.m. to 8:30 p.m., and when classes are not in session, Monday to Friday, 9:00 a.m. to 5:00 p.m.

Staff may be available to provide AV support during off-hours and weekends. All requests must be coordinated with Multimedia team at least 10 full business days in advance.

Please note that while we try to accommodate as many requests as possible, Multimedia staff are not always available for support after hours. Should we be unable to fulfill your request, we will provide suggestions for a suitable, alternative solution.
 

Additional costs apply to events hosted by both Law School and non-Law School groups—other schools of Columbia University and approved external organizations—that end or begin after 8:30 p.m. or take place during the weekend.

The cost per staff member is $50 per hour. On the weekend there is a 4-hour minimum, for a cost of $200. Events after hours typically require one staff member. If an event is complex enough to require more than one staff member—it involves more than one classroom, video conferencing, and/or live streaming of video—the cost is $50 per hour, per staff member. On the weekend, the 4-hour minimum applies per staff member.

The cost for large, complex events, such as full-day or multiple-day conferences occurring on the weekend, will be determined on a case-by-case basis.
